How to Draft an Enterprise Digital Signage RFP for Scale, Security, and Long-Term Ownership

Digital signage in enterprises has moved beyond deploying screens. It now operates as an always-on communication network connecting locations, teams, use cases, and systems.

Yet most digital signage RFPs (Request for Proposals) still reflect a hardware-first mental model. This creates structural gaps that surface only after deployment – locking enterprises into rigid systems, manual operations, and long-lived software constraints.

  • Most vendors cannot satisfy all sections and will drop out early (not enterprise-ready).
  • A clear gap between feature-led responses and architecture-backed ones.
  • Evaluation to shift from demos to documentation, SLAs, and ownership clarity.
  • Final selection to withstand audits, security reviews, and year-two expansion.

If a vendor cannot engage at this level, you are not selecting a platform; you are selecting constraints. The constraints that surface when switching are the hardest and most expensive to fix.
